A step-by-step guide to creating and configuring a new project in QNOPY
Overview
The Project Set-Up flow walks you through everything you need to get a new project ready — forms, users, locations, pre-sets, and events. You can complete all steps in one go or save and exit at any point and return later. Any details you skip during set-up can always be added or edited from the Project Dashboard afterwards.
Creating a New Project
To create a new project, go to your My Projects page and click the + Create New Project button in the top-right corner of the screen.
Step 1 — General information
This is the only required step in the set-up flow. You must enter:
- Project name — A descriptive name for your project.
- Project number — Must be unique to that project.
You can also add a project address if applicable.
Once you've filled in the general information, click Next to continue or Save and exit to finish later.
Step 2 — Users
Add team members to your project. There are two user types:
- Standard users (formerly Project Managers) — Have full read and write access to the project.
- Limited users (formerly Standard Users) — Can upload data from the mobile app but cannot edit data from the web portal or change project settings.
Select each user you want to add under the appropriate column. You can skip this step and add users later from the project settings at any time.
Click Next to continue or Save and exit to finish later.
Step 3 — Forms
Select the form you want to use for this project. You can only select one form at a time, but you'll have the option to add more forms later. A mobile app preview and PDF preview are available for each form so you can confirm you're selecting the correct one.
You can skip this step and add forms later from the Project Dashboard.
Click Next to continue or Save and exit to finish later.
Step 4 — Locations
If you've selected a form, you can assign locations to it. To add locations:
- Click Download Template to get the location spreadsheet in the required format.
- Add your locations to the spreadsheet and save the file.
- Click Upload Locations and select your edited file.
- Confirm the locations look correct in the preview table before proceeding.
You can skip this step and add locations later from the Project Dashboard.
Click Next to continue or Save and exit to finish later.
Step 5 — Pre-sets
Pre-sets are default values that are automatically entered into the form for every new event. To add pre-sets:
- Click Download Template to get the form-specific pre-set template.
- Add your pre-set values to the spreadsheet and save the file.
- Click Upload Locations and select your edited file.
Pre-sets are managed on a form-by-form basis. You can skip this step and add pre-sets later from the Forms tab in the Project Dashboard.
Click Next to continue or Save and exit to finish later.
Step 6 — Events
Schedule an event for your project. An event name and date are required; additional advanced options are also available. New events can also be scheduled at any time by selecting Create Event from the Events tab.
You can skip this step and schedule events later from the Project Dashboard.
Click Finish to complete the project set-up.
Saving and exiting
At every step in the set-up flow you'll see a Save and exit option. Clicking this saves your progress and takes you back to the My Projects page. Your project will appear in your project list and you can return to continue the set-up from the Project Dashboard at any time.
Nothing you skip is permanent — all details including users, forms, locations, pre-sets, and events can be added or edited after set-up is complete.
Editing Project Details
Once your project is created, you can edit any details from the Project Dashboard. To open it, go to your My Projects page and select the project you want to edit.
- General info, forms, users, and locations — Editable from their respective tabs.
- Events — View and edit existing events from the Events tab. Add new events by clicking Create Event.
- Pre-sets — Found on the Forms tab, managed on a form-by-form basis.
