How to access, search, export, and edit your field data and photos in QNOPY
Overview
Once field data has been submitted from the mobile app, you can view, search, export, and edit it from the web portal. If your device was connected to the internet when collecting data, it will sync automatically. If you were offline, press the sync button on the event to push your data through.
Viewing data
If your data collection device was connected to service, then photos should automatically sync. If you were offline when collecting data, you will need to press the sync button that appears on the event.
View data in table
To view an event's data in a structured table:
- Open your project and click on the desired event.
- Click View Data in Table from the event options.
- You can switch between tabs by clicking the tab name just above the data grid.
The table view displays your data in a grid format. Note that data can be viewed in table view but is easier to edit using Form Entry View (see editing section below).
View PDF log
The PDF log generates a formatted report of your event data. To access it, open your project and event and click View PDF Log. From the window that appears, you can:
- Email the report to a project manager
- Download the report as a PDF document
- Download the report as a Word document
- Download the report as an Excel document
Searching and filtering data
Data search
Data search lets you view and download data across an entire project by applying filters. To use it, click Data Search in the project menu and apply any of the following filters:
- Date range
- Form
- Event
- Location
- User
- Field parameter
Once you've filtered to the data you need, you can download it by clicking Download Data and selecting one of two formats:
- Excel — Standard spreadsheet format.
- Flat data format — A simplified export suited for data processing.
You can also view photos associated with the filtered data by clicking View Photos.
Photo search
Photo search lets you filter and view photos across an entire project. You can filter by:
- Notes
- Form
- User
- Date range
- Coordinates and radius
Once you've selected the photos you need, you can generate a photo log report — a compiled PDF or Word document of the selected photos. This is useful for site documentation and reporting.
Viewing data within a date range
To view data across a specific time period:
- Navigate to your project.
- Click Data Search in the project menu.
- Select the form and date range.
- Apply additional filters as needed — event, location, user, or field parameter.
Editing data
To edit data for a specific event:
- Open your project and click on the desired event.
- Select the data view type.
There are two ways to view and edit data:
- Form entry view — Shows a list of locations assigned to the form. Select a location to open the form, fill in or update the data, and click Save. This is the recommended view for editing as it mirrors the mobile app experience.
- Table view — Displays data in a grid. Useful for reviewing data at a glance but does not support editing.
Viewing and managing photos
To view photos for a specific event:
- Open your project and click on event you want to see photos of.
- Click View Event Photos.
From the photos view, the action menu gives you the following options for each photo:
- Download — Save the photo locally.
- Delete — Remove the photo from the event.
- Upload — Add a new photo to the event.
- Export metadata — Export the photo's metadata (location, timestamp, notes, etc.).
- Reorder — Change the order photos appear in reports.
To export a photo log, select the photos you want to include and choose your preferred format — PDF log or Word log — from the export menu.
