How to browse, manage, and work with forms in QNOPY
Overview
The Form Library is where all forms available to your organisation are stored and managed. You can access it by clicking Form Library in the top navigation. From here you can view, preview, and manage forms across your company.
Navigating the form library
The this organises forms into three sections:
- Company forms — All forms belonging to your parent company and any client companies you are part of. These are forms available across your organisation.
- My forms — Forms you have personally created.
- WIP forms (Work in Progress) — Forms that have been started but not yet finalised. This includes forms generated by the AI assistant (Coco) that are still being reviewed or edited before use.
What you can see in the form list
Each form in the library shows the following information at a glance:
- Form name — The name of the form.
- Company — The company the form belongs to.
- Projects — The number of projects this form is currently assigned to. Click the number to see the list of projects and click any project to go directly to it.
- Events — The number of events this form has been used in. Click the number to see the list of events and click any event to be taken directly to it.
- Shared — Whether the form is shared across companies.
- Default — Whether the form is set as a default form.
- Site-specific — Whether the form is tied to a specific site.
- Updated — The date the form was last modified.
- Tags — Any tags applied to the form for organisation.
- Notes — Click Add to attach notes to a form.
Form actions
Click the three-dot actions menu next to any form to access the following options:
- Mobile app preview — See exactly how the form will look and behave on the mobile app before assigning it to a project.
- Format output — Customise how the form report is generated. You can hide specific fields or tabs, reorder them, and adjust the layout to control what appears in the downloaded report.
- Notes — Add or view internal notes about the form.
- Print view — View a print-friendly version of the form, if available.
Creating a new form
You have two options for creating a new form from the Form Library:
- Build new form — Click + Build New Form in the top right to open the form builder and create a form manually. See the Form Builder article for full details.
- Create with Coco — Click Create with Coco to use QNOPY's AI assistant to generate a form automatically from an uploaded image. Generated forms are saved as WIP forms until you review and finalise them.
